*Museum Growth and Administrative Manager*


*Cape Cod Maritime MuseumPart-time (30 hours per week, 3 - 5 days a week),
$18 - $20 per hour*The Cape Cod Maritime Museum is a 20-year-old
institution located at the head of Hyannis inner harbor. Please visit our

mission, programs, and exhibits.

The Museum Growth and Administrative Manager will work closely with the
Executive Director, Development Committee, and Board members to manage
administration, development, and membership at the museum.
They will also serve as liaison to answer inquiries from the public about
the museum’s programs, exhibits, membership, and fundraising.

*Responsibilities:*
*Development* - this person’s responsibilities will revolve around
maintaining and growing lasting relationships between the museum and its
donors and members.

   - Generate donor leads from search platforms (Eleo)
   - Work with Executive Director to expand donor base
   - Coordinate and plan yearly fundraising events and mailings, including
   invitations.
   - Maintain and organize development and membership database (Eleo)
   - Track & report on appeal returns (via spreadsheets or software)
   - Write & send thank you letters & membership materials
   - Coordinate and organize membership correspondence, renewals,
   membership cards and benefits

*Grants:*

   - Track deadlines and expenditures and assist with supporting documents
   - Process gifts and memberships through donor management database (Eleo)
   - Act as point of contact for donors, members, and other sponsors

*Marketing:*

   - Maintain and post on museum’s Facebook and Instagram page
   - Work with Educator, Public Programmer, and Curator to develop social
   media posts
   - Maintain and update website as needed
   - Maintain and update ticketing and booking website as needed
   - Utilize Adobe Suite programs (Photoshop, InDesign) to create
   brochures, flyers, and other graphic needs for the museum as needed.

*Clerical:*

   - Coordination of museum calendars
   - Develop and maintain all admin files including hard copies and digital
   - Manage shared network drive file folders & documents
   - Coordinate board, advisor & committee meetings: send notices, take
   minutes, update participants
   - Reply to general inquiries over email & phone, forward pertinent
   emails & messages to director
   - Respond to email & phone requests as directed by Executive Director
   - Maintain & update snail & e-mailing lists
   - Order and maintain supplies and mailing items
   - Coordinate and schedule Exec Director meetings as requested
   - Open & organize mail

*Events:*

   - Serve as front-line event coordination for weddings, retirement
   parties, etc.
   - Assist education coordinator in event planning needs
   - Organize space & supplies with Front Desk Manager per event as needed
   - Assist program coordinator in volunteer outreach & organization
   - Admissions (Rotate in to assist Front Desk Manager)
   - Knowledge of opening procedures, front desk operations, and closing
   operations during season to step in as needed
   - Routine visitor interaction—selling regular admissions & combo
   tickets, giving tourist information, etc.
   - Other tasks as given by Executive Director

*Qualifications:*

   - 3-5 years administrative experience
   - 1-3 years event coordination experience preferred
   - Non-profit administrative experience preferred
   - Fundraising experience preferred
   - Excellent verbal and written communication skills, strong professional
   demeanor, excellent interpersonal skills.
   - Experience with Customer Relations Software (Eleo or other software
   preferred)
   - Confidence and thorough knowledge with computer programs - Microsoft
   Office, Adobe Suite, Google Suite
   - Bachelors or Associates Degree
   - Advanced organization skills a must, excels at multi-tasking
   - Friendly, and works well with others
   - Comfortable dealing with the public/visitors
   - Have own vehicle
