[Flex] 2 Tips: Making sure reviewers see your comments

Hello all-

Two things to remind you of:

1. You may approve items from within WHOIgrants. Once the Dept Admin  
clicks 'To Routing', you may go to the menu bar across the top in the  
desktop application. Select Items --> My Approvals and you will see  
all your approvals there. This is helpful if you don't have the web  
browser open.

2. Return to Department notes
With PIs, Chairs, & DoR stand-in people able to return to department  
in addition to GCS and the Dept Admins, we have discovered that some  
of the science folk don't necessarily know some of the finer points of  
some types of submissions and may return something you didn't expect  
to be returned.

You may view the Return and any comment/reason they entered/selected  
by going to the Submission in WHOIgrants, click on the Approvals Tab  
on the bottom of the screen, highlight the record with 'Return', Look  
Right and click 'View'. You'll see their comment there. (Actually, any  
approver may make a comment and you can highlight any approval and  
view it!)

Therefore, if you want to communicate something that all reviewers are  
able to see, please use the Special Instructions block on the  
Submission screen. Comments that we enter in WHOIgrants on the  
Comments tab are only seen by WHOIgrants users. This is still useful,  
but not for potential scientific staff reviewers!

When you are training/guiding/talking with PIs, Chairs, etc, please  
train them to look at the 'Special' tab on their approvals to see if  
there are any notes from you to explain special circumstances.

Some examples:'special characters allowed in [section name]' or  
'Collaborative. WHOI not the lead so no project desc in fastlane print'.

And - once you start routing again, the Return record will go away so  
you have a fresh view of where the Submission is in the routing process.
