Colleagues:

There is just over two weeks left before the Division of Ocean Sciences
(OCE) February 15, 2001 proposal submission target date. This email is being
sent as a reminder that NSF requires all proposals to be submitted via
FastLane, to advise you of a few recent changes in FastLane, and to inform
you of some current vacancy announcements in OCE.

FASTLANE INFORMATION

File Uploads

FastLane now supports file uploads in a variety of formats including Word,
WordPerfect, PostScript and TeX (MiKTeX1.20e). You should continue to use
standard fonts to avoid font substitutions and you will need to proof read
and accept the uploaded files. PDF files will continue to be accepted if
properly created (e.g., ensuring that all fonts are embedded, the files are
in Acrobat 3 format and that PDFWriter was not used to create the file). For

Note: If you are close to the 15 page project description limit before
creating a PDF file, text may "reflow" into more pages in the resulting PDF
file. This can occur if you print the document to a printer other than the
one specified when you created it, more pages will print than are actually
in the document. For example, if you created a five-page document with a
Hewlett-Packard (HP) LaserJet 4Si set as the default printer, that document
will print on six pages from an Apple LaserWriter 630. You can prevent this
from happening if you format the final document in your word processor
program with the default printer set to Distiller (or a postscript printer).
When you (or NSF) creates the PDF file, the text format should not change.

New Check Box for Proposals That Contain High Resolution Color Graphics 

For cost and technical reasons, the Foundation cannot, at this time,
reproduce proposals containing color. PIs wishing to include very high
resolution graphics or other graphics in their project descriptions, where
exact color representations are required for proper interpretation by the
reviewer, must submit 15 copies of the entire paper proposal to the
applicable program officer for use in the review process. This submission is
in addition to, not in lieu of, the electronic submission of the proposal
via FastLane.

NSF has added a check box on the cover sheet to indicate that the proposal
contains color graphics which are needed for review. By checking this box,
you indicate that you intend to send hard copies and NSF will print only one
copy to send to the programs rather than the requisite 15 copies. This check
box can be found in the "Remainder of Cover Sheet" section under "Other
Information."  

UNOLS Ship Time Request Forms

In the past, OCE requested ship time request forms for all proposals whether
ship time was required or not. This is no longer necessary. Only proposals
requiring ship time need to include a request in their proposal. Please
continue to use the electronic UNOLS Ship Time request form available at
www.unols.org for submission with your proposals.

Password Reset

An automated password reset function is now available in FastLane for users
who forget their passwords (see "Password Reset" on login pages). Once the
user is authenticated through information presently in our database, a
one-time password is generated, stored in one-way encrypted format in
FastLane, and sent by e-mail to the address on record. As with virtually all
FastLane functions, the password reset function is available all the time.
Therefore, users no longer need to wait to contact the FastLane Help Desk or
their Sponsored Research Office.

Organization Basic Information Changes

Organizational management now has an additional permission (Review/Revise
Organizational Information) that allows users to update in NSF's records, an
organization's address, phone number, FAX number, e-mail address and DUNS
number. The change is immediate. Name and EIN/TIN changes cannot be
performed online. Instead, organizational management users will need to
e-mail dgafast@nsf.gov to inform NSF of these changes.
